By providing me with your data, you assure me that you are over 13 years of age.

Josh Alward is the data controller and I’m responsible for your personal data.

It is very important that the information I hold about you is accurate and up to date. Please let me know if at any time your personal information changes by emailing me at josh @ joshalward.com

WHAT DATA DO I COLLECT ABOUT YOU AND WHY DO I COLLECT IT?

 While using my website, I may collect information about you such as:

  • your IP address and details about your browser and device

  • how you use my website

  • information you send through my website such as your name and email address and other information you provide through your inquiry

This helps me to:

  • analyse your use of my website

  • administer and enable all functions of my website

  • administer my business and personal records

  • deliver relevant website content and advertisements to you

  • understand the effectiveness of my advertising and grow my business.

I use Google Analytics to track and analyse this data.

In addition, I use the following third-party service providers to process and store your data:

  • Squarespace Scheduling is the scheduling software from which users can book appointments with me. Please see Squarespace’s privacy policy.

  • Typeform is the form collecting software I use for client registration / “onboarding”. Please see Typeform’s privacy policy.

  • Mailchimp is the email marketing software I use to store your basic contact details in order to keep you posted about services and occasional offers. (More about this below.) Please see Mailchimp’s privacy policy.

MARKETING COMMUNICATIONS

I may process your personal data to send you marketing communications in order to grow my business.

I may send you marketing communications if:

  • you made a purchase or asked for information from me about my services

  • you agreed to receive marketing communications and in each case you have not opted out of receiving such communications since.

Before I share your personal data with any third party for their own marketing purposes, I will get your express consent.

You can ask me or third parties to stop sending you marketing messages at any time by following the opt-out links on any marketing message sent to you or by emailing me at josh @ joshalward.com at any time.

If you opt out of receiving marketing communications this opt-out does not apply to personal data provided as a result of other transactions, such as purchases of coaching services and programmes.

WHAT ABOUT SENSITIVE DATA?

I do not collect any Sensitive Data about you. Sensitive Data refers to data that includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health and genetic and biometric data. I do not collect any information about criminal convictions and offences.

I do not carry out automated decision making or any type of automated profiling.

WHY AND WITH WHOM MIGHT I SHARE YOUR PERSONAL DATA?

I may have to share your personal data with the parties set out below:

  • Service providers who provide IT and system administration services.

  • Professional advisers including lawyers, bankers, auditors and insurers

  • Government bodies that require me to report processing activities.

I require all third parties to whom I transfer your data to respect the security of your personal data and to treat it in accordance with the law. I only allow such third parties to process your personal data for specified purposes and in accordance with my instructions.

WHAT DO I DO WITH YOUR DATA AND HOW LONG DO I KEEP IT?

I will only retain your personal data for as long as necessary to fulfil the purposes I collected it for, including for the purposes of satisfying any legal, accounting or reporting requirements.

When deciding how long to keep the data for, I look at its amount, nature and sensitivity, potential risk of harm from unauthorised use or disclosure, the processing purposes, and if these can be achieved by other means for legal requirements.

For tax purposes, the law requires me to keep basic information about my clients (including contact, identity, financial and transaction data) for six years after they stop being clients.

In some circumstances I may anonymise your personal data for research or statistical purposes in which case I may use this information indefinitely without further notice to you.

YOUR LEGAL RIGHTS

Under data protection laws you have rights in relation to your personal data that include the right to request access, correction, erasure, restriction, transfer, to object to processing, to portability of data and (where the lawful ground of processing is consent) to withdraw consent.

MORE INFORMATION ABOUT APPOINTMENTS

My appointment scheduler is run by Squarespace. If you make an appointment with me at Josh Alward Coaching, your contact details and appointment time are stored by Squarespace.

I keep paper session notes for all clients. These session notes are then typed up at the end of each session and the original paper notes are shredded. The typed up notes, and any personal information you have provided for the purposes of onboarding, are securely stored on password protected software. No other person has access.

Sometimes (having first received your written permission) it is an option for Zoom appointments to be recorded, either for training purposes or for your further learning (offered if helpful). These recordings are stored offline on a password protected hard drive. You are welcome to view your own session recording at any time and it can be made available to you via a password protected page on my website. It can be removed at your request at any time. No one else will have access or will be able to view your recording.

PAYMENTS

Payments made by card are processed by Stripe (www.stripe.com). I recommend you also look up Stripe’s privacy statement. Stripe’s Privacy Policy.

No one else has access to my accounts with these companies.
